The Plain-Envelope Offer Rotation

A plain white envelope with a personal letter beats every glossy postcard in the mailbox — send it every two months, rotate the offer each cycle, and be on the kitchen counter the week they finally snap.

The play

  1. Write a letter, not a brochure

Plain white envelope, hand-addressed look, and inside: a plain-text letter that reads like a person wrote it. “Hi, I’m [first name]. I live here, my company manages [n] homes in [market], and I’m writing because…” Glossy postcards scream marketing and hit the trash at famous rates; personal mail gets opened. One head-to-head client test settled it: the envelope won on both cost and conversions.

  2. Commit to the every-two-months rhythm

Same list, six drops a year. Owner timing is unpredictable — the mid-season disaster, the fee dispute, the cleaning no-show — and the winner is whoever’s letter is in the house that week. One manager mailed a hand-picked list of about 150 homes — two letters and two postcards — and signed three of them. A small, curated list you can afford to mail often beats a big vendor file.

  3. Rotate the offer like a mattress store

Each cycle leads with a different, time-bound reason to act now. Live examples from the field: a $1,000 cleaning-and-maintenance credit with a hard deadline; three months of free management; a $2,000 cash signing bonus for qualifying properties signed by a named date; the “smart home welcome kit” (package the locks, monitoring, and setup you already do — with a name and a dollar value). Rotation manufactures urgency and A/B tests your market at the same time.

  4. Segment the tone by owner type

Absentee owners get peace-of-mind language; investor-owned properties get the returns angle; inherited homes get care and stewardship. Same letter skeleton, different opening paragraph — the data file (Play 30) tells you which is which.

  5. Give each offer its own response path

A dedicated, memorable domain per offer (yourbrand-welcome.com style) or a unique phone number means every response is attributable to the mailer and the offer that pulled it. Without this you’ll never know which offer earns the next cycle.

  6. Expect letter economics, plan letter volume

Around a dollar a piece all-in, and a response pattern of roughly one or two conversations per couple hundred letters per drop. That math sounds thin until you remember each conversation is a five-figure-a-year contract on the other end.

What to expect

Timeline
Responses trickle per drop, but the compounding is real: by drop three, owners greet your rep with “I’ve been getting your letters.” That recognition is the asset.
Benchmarks
~$1/mailer, 1–2 leads per 200–300 pieces per drop, improving as the list warms — a parallel postcard program measured ~1.2% call response, consistent across repeated sends. Signed-contract value makes the worst month of this math profitable. The format finding has serious pedigree: a direct-mail veteran of a national manager’s ~6M-pieces-a-year program reports the best performer across all of it was the plainest piece — a minimally designed sign-on-bonus offer.
Good result
A mail machine that runs on the calendar, a tested read on which offers move your market, and a steady drip of owner conversations no algorithm can throttle.
