The Abandoned-Booking Rescue Sequence

Most travelers who start a booking don’t finish it — a three-email rescue with the exact property and dates they left behind recovers a slice of revenue every week, on autopilot.

Run this when

The play

  1. Instrument the abandonment event

Wire the booking engine to your ESP or PMS so a started-but-unfinished checkout fires an event carrying guest email, property, dates, and quote value. This integration is the whole play — everything after is just writing.

  2. Email 1 — 20 minutes later

While the trip is still open in a tab: the exact property, their dates, one great photo, a “pick up where you left off” link that restores the quote. No discount. Send it from a branded team address (info@ or reservations@) — one client’s sequence got no traction from a personal inbox and started converting the week it switched. A surprising share completes on this nudge alone.

  3. Email 2 — 24 hours later

Add gentle urgency with whatever is true: “these dates are still open,” calendar-pressure framing if the season is filling, and one or two similar properties in case the first wasn’t quite right.

  4. Email 3 — three days out

The decision email: strongest booking reasons (flexible cancellation, book-direct perks), and — if and only if your margins allow — a modest incentive. Keep any code small; you’re rescuing a booking, not repricing your inventory.

  5. Check before every send

Each email in the sequence should verify against the PMS that the guest hasn’t already booked — through any channel. Congratulating someone into a discount they didn’t need is a self-inflicted wound.

  6. Add the human layer on big quotes

For high-value abandons — peak weeks, large homes — have a team member call within 24 hours — or text, only if the guest ticked an SMS marketing opt-in at checkout — between 8 a.m. and 8 p.m. their time: “Saw you were looking at the lodge for July — anything I can answer?” High-touch recovery on five-figure quotes is worth a daily 15-minute ritual.

What to expect

Recovery rate
Well-built sequences typically recover 5–15% of abandoned quotes — against checkout traffic that was otherwise 90%+ lost. Live examples: six bookings in a single month from one client’s 20-minute/24-hour/3-day sequence, including recoveries the size of an $8,000 booking. Operators consistently rank this the #1 lifecycle automation in the stack.
Timeline
Live within two weeks if the integration cooperates; revenue attribution visible from week one.
Good result
A steady automated revenue line in your ESP reporting that nobody has to touch — and call-recovered whales your team can point to by name.

Immediate action

Ask your booking-engine vendor one question today: “How do I get started-checkout events with property and dates into my email tool?” The answer determines the build.
